Form 16

It is one of the most crucial documents for salaried employees during the income tax return (ITR) filing season. With the financial year 2024-25 underway, and the assessment year 2025-26 gearing up for peak filing activity, millions of salaried professionals are now preparing their documents—and Form16 sits at the top of the checklist.

📋 What is Form 16?

It is a certificate issued by an employer to a salaried employee, which outlines the salary paid and the Tax Deducted at Source (TDS) for the entire financial year. It is an official proof that tax has been deducted and deposited with the government on behalf of the employee.

This document is not mandatory for filing ITR, but it simplifies the process significantly as it summarizes all relevant income and deduction data.

📌 Components of Form 16

Form 16 consists of two parts: Part A and Part B.

🧩 Part A

  • Name and address of the employer and employee
  • PAN of employee and TAN of employer
  • Details of TDS deducted and deposited with the government
  • Summary of quarterly tax deduction

📑 Part B

  • Detailed salary breakup
  • Exemptions under Section 10 (like HRA, LTA)
  • Deductions claimed under Chapter VI-A (Sections 80C, 80D, etc.)
  • Net taxable income and total tax liability

It make easier for you to match your income and deductions as reflected in your ITR form, avoiding errors and mismatches.

The Income Tax Department has introduced some subtle but important changes to the Form16 format to improve clarity.

  • Clearer breakdown of tax-exempt income and taxable salary components.
  • Detailed allowance structure, showcasing which benefits are taxed and which are exempt.

These enhancements help reduce errors while filing returns and improve accuracy when matching your Form16 data with AIS (Annual Information Statement) and Form 26AS.

🗓️Deadline 2024-25: When Will You Receive It?

As per Rule 31(3) of the Income-tax Rules, all employers are mandated to issue Form 16 by June 15 of the following financial year.

So for FY 2024-25, salaried employees will receive Form 16 by June 15, 2025.

While Form16 is not compulsory for filing ITR, most salaried individuals prefer to wait for its issuance to ensure a seamless and mistake-free return filing.

🔍 Is Form 16 Mandatory for Filing ITR?

Technically, Form 16 is not a mandatory document. You can file your ITR using salary slips, Form 26AS, and AIS data. However, Form remains the most consolidated and convenient source of information.

Chartered Accountant (CA) Dr. Satish Surana notes, “Form 16 acts as a single-window summary of income and TDS, making return filing easy for salaried taxpayers. Waiting for it may delay filing, but it improves accuracy.”

⚠️ Penalties for Late Filing

If you delay your ITR filing while waiting for Form 16, ensure that you don’t miss the due dates. Delays can lead to:

  • Late fee under Section 234F

Hence, start preparing your documents early even if you plan to file post-June 15.
